Visit types, formats, and what each one schedules

A reference for every type of slot you can put on the calendar — in-person vs virtual vs hybrid, intake vs follow-up, blocked time, on-call, and group sessions.

EnWella does not ship a hard-coded list of visit types. Instead, every event is the combination of an appointment template (which carries name, duration, instructions) and a delivery format (in-person, virtual, hybrid). This article lists the patterns we see in real practices so you can name yours the same way.

Every appointment template defaults to one of three formats. In-person assumes the patient comes to a location you have configured. Virtual opens an EnWella telehealth room — no Zoom, no app to download. Hybrid lets the patient pick at booking time; useful for follow-ups where either works. The format drives where reminders point ("Join video" vs "Address & directions") and what shows on the front-desk day sheet.

Intake / new-patient visits

Make a separate template (e.g. "New patient intake — 60 min") with the longest duration you reasonably need. Mark it as the only visit type new patients can self-book; existing patients see your follow-up templates instead. The template should have your intake forms attached so the patient gets them automatically when they confirm.

Follow-up and routine visits

Follow-ups are usually 15–30 minutes. Build one template per cadence (e.g. "30-min med check", "20-min therapy session"). Patients with an active care plan can self-book follow-ups within your guardrails (lead time, max forward).

Blocked time and time off

A blocked event sits on your calendar without a patient and removes that slot from booking. Create one for lunch, admin time, conferences, or the half-day you closed for snow. For a vacation, use Calendar → Availability → Time off — it shows up as a single block and prevents anything from being booked across the range.

On-call shifts

On-call shifts are 24-hour calendar events with a special "on-call" marker. They do not block routine bookings (you can still see scheduled patients during a 24-hour shift), but they do route after-hours secure messages and AI Frontdesk warm-transfers to whoever is on call right now.

Group sessions

Group sessions are one calendar event with multiple linked patients. Toggle Group on the template and set a max participants count. Each enrolled patient gets their own reminder, joins the same telehealth room (or comes to the same address), and gets their own visit note.

Recurring series

Any event can be made recurring — weekly therapy, monthly med-management. The series is stored as a rule plus exceptions, so moving one occurrence does not touch the rest. See the dedicated "Recurring appointments" article for the edit-just-this-one mechanics.
