Add, remove, and manage team members and their roles.

The Team page (Establishment → Team) shows everyone at your practice: providers, clinical staff, and administrative staff. This article covers adding new members, editing roles, deactivating, and managing permissions.
Inviting new staff
Click Invite and enter the person's name and email. Pick the base role: Doctor, Clinical staff, or Non-clinical staff. The base role determines the persona and default permissions. You can customize granular permissions on the next screen. The invite is sent by email and expires in 14 days.
Base roles
Doctors can sign notes, prescribe, and have full clinical access. Clinical staff (MAs, RNs, scribes) can chart and update clinical data but cannot primary-sign notes. Non-clinical staff (front desk, billing) handle scheduling, intake, and documents — no clinical access. Choose carefully; changing base role later requires support.
Granular permissions
After picking a base role, you can fine-tune permissions: viewallpatients, addnewpatients, managecalendar, createnotes, signnotes, editclinicaldata, managebilling, managedocuments, managemessaging, managesurveys, manageteam, managepracticesettings. Check only what they need — least privilege is the rule.
Editing team members
Click a team member to edit their profile, roles, or permissions. Changes take effect immediately. If you remove a permission they're currently using, they'll see an error next time they try that action. You can also reset their password or resend an invite if they never activated.
Deactivating staff
When someone leaves, click Deactivate (don't delete). Deactivation revokes access immediately, preserves audit trails, and reassigns their open tasks and drafted notes to a queue. You can reactivate within 90 days if they return. After 90 days, deactivation is permanent.
Supervision and co-sign
For practices with trainees or supervised staff, set the supervisor relationship under the staff member's profile. The supervisor receives notifications for notes requiring co-signature and can review charts. Supervision is required for certain roles in some states.
