You can request a visit any time without calling the office. Here is how it works, including what happens after you submit a request.

Find an open slot

30-min follow-up · Dr. Patel

TelehealthTue · Apr 23

Aetna PPO accepted

Greyed slots are full or held for follow-ups only. The chosen slot highlights in primary.

Pick a visit type and provider - only the slots that match your filters appear

Open Book in your portal. Pick the visit type (in-person, telehealth, intake) — only providers offering that visit appear. Use the location and provider filters to narrow further. The grid shows the next two weeks at a glance; greyed-out slots are full or held for established patients only, and the chip in the top right confirms your insurance is in-network for the provider you selected.

Request the appointment

Tap a slot. Add a short reason for visit (this helps your provider prepare and is private to your care team). Submit. If the visit type requires a co-pay or a card on file, you will see that on this screen — never as a surprise after you book.

Confirmation arrives by email and text. The reminder cycle is automatic from here.

Some practices auto-confirm bookings; others have the front desk approve them within one business day. You will get an email and text either way, plus reminders 24 hours, 2 hours, and (for video visits) 10 minutes before — all configurable in your Notifications preferences. If your provider needs to reschedule, you will be offered alternative slots before they touch your time.

Frequently asked questions

Why are some slots greyed out?
Either the slot is in the past, your insurance is not accepted by that provider, or it is held for follow-ups only.
Can I book for my child?
Yes — switch to your child's linked profile from the top-right menu before opening Book.
What if I do not see my insurance listed?
You can still book as self-pay, or message the front desk to ask if they can add your plan. Insurance lists update overnight when the practice adds a new payer contract.
